Candle Cave Workshop Disclaimer & Liability Waiver
Participant Agreement & Assumption of Risk
By booking a Candle Cave workshop, I acknowledge that I am voluntarily participating in an activity that involves handling hot wax, open flames, fragrance oils, dyes, and other potentially hazardous materials, which carry inherent risks. I assume full responsibility for any injuries, damages, or losses that may occur as a result of my participation.
Health & Safety Waiver
I confirm that I am in good health and do not have allergies, sensitivities, respiratory conditions, or other medical issues that could be aggravated by exposure to wax, fragrance oils, or workshop materials. I accept full responsibility for any adverse reactions.
I understand that it is my responsibility to disclose any health concerns before participating. The Candle Cave and Bear Burners are not liable for any health-related incidents arising from my failure to disclose relevant medical information.
I agree to follow all safety instructions provided by The Candle Cave team and use the equipment responsibly. Failure to do so will result in my full liability for any injury or damage caused.
Liability Release & Waiver
By booking this workshop, I fully release The Candle Cave, Bear Burners, and all affiliated staff from any and all liability, including but not limited to:

Burns, allergic reactions, or injuries sustained during or after the workshop.

Damage to personal property.

Any issues arising from the use of candles or products I create.
I waive my right to pursue legal claims against The Candle Cave, Bear Burners, their employees, owners, or affiliates under any circumstances, including negligence.
Damage, Loss & Responsibility
I accept full financial responsibility for any damage I cause to the venue, workshop equipment, or materials. If I break or damage anything due to negligence or misuse, I agree to cover all repair or replacement costs.
Disruptive or inappropriate behavior may result in my immediate removal from the workshop without a refund.
Indemnification
I agree to indemnify and hold harmless The Candle Cave, Bear Burners, and all affiliated parties from any claims, costs, damages, or legal fees that may arise from my participation.
Cancellation, Late Arrival & No-Show Policy

All bookings are final and non-refundable.

No refunds or rescheduling will be provided for cancellations, no-shows, or late arrivals.

If I arrive more than 15 minutes late, I may not be allowed to participate and will not receive a refund or reschedule.

If The Candle Cave cancels a workshop, I will be offered a reschedule or refund at their discretion.
Photography & Media Consent
I consent to photographs and videos being taken during the workshop for promotional use by The Candle Cave and Bear Burners. If I do not wish to be photographed, I will inform the workshop leader before the session begins.
Force Majeure Clause
Neither The Candle Cave nor I will be held liable for failure to perform due to circumstances beyond reasonable control, including but not limited to acts of God, war, pandemics, strikes, government regulations, or other events beyond control.
Insurance
The Candle Cave has appropriate business liability insurance to cover incidents or accidents occurring during workshops. However, participants are responsible for their own personal health and safety.
Acknowledgment of Potential Hazards
I understand that no amount of safety precautions can entirely eliminate the risk of injury, and I am willing to assume all responsibility for my safety during the workshop.
Governing Law
This agreement is governed by the laws of England and the United Kingdom of Great Britain. Any legal disputes arising from this agreement will be resolved in the courts of England and Wales.
Severability Clause
If any provision of this waiver is found to be unenforceable or invalid, the remainder of the agreement shall remain in full effect.

If you or someone you're booking for has additional learning needs, we encourage you to contact us prior to booking to discuss any accommodations or adjustments that might be required. However, due to the nature of our activities, we may not be able to accommodate participants with certain learning needs that could affect their safety when working with hot wax, open flames, or other potentially hazardous materials. We reserve the right to determine whether participation in the workshop is appropriate, based on safety considerations.

Follow verbal and written instructions for safety and workshop activities.

Work independently or with minimal assistance when handling materials such as hot wax, fragrance oils, and tools.

Demonstrate appropriate behavior and attention during the session to ensure both their own safety and the safety of others.

If, during the workshop, we find that a participant cannot safely engage with the activities, we may need to ask them to leave the session. We reserve the right to make that decision in the best interest of all participants.

2. Workshop Content & Expectations

The Candle Cave workshop involves candle-making activities, including the use of hot wax, open flames, and various materials that require careful handling. Participants should expect a hands-on, creative experience.

4. Child Supervision Requirements (Under-18 Participants)

For participants under the age of 18, an adult (18+) must accompany them for the duration of the workshop.

The accompanying adult is legally responsible for the safety and behavior of the child or children.

The adult must provide adequate supervision throughout the session. If the adult cannot effectively supervise, the child may be asked to leave the workshop without a refund.

5. Indemnification & Liability for Under-18 Participants

The booking adult is legally responsible for any minors attending the workshop and agrees to the terms and conditions of the Candle Cave workshop by completing the booking.

The adult acknowledges that by booking, they are also agreeing to take responsibility for any under-18 participants, including liability for any damages, injuries, or other incidents that may arise during the workshop.

6. Acceptance of Terms

By proceeding with the booking, you confirm that you have read, understood, and agreed to the terms and conditions outlined in this policy. This includes acceptance of all liability waivers, participant expectations, and behavioral guidelines as specified in the Candle Cave Workshop Disclaimer & Liability Waiver.
Candle Cave Workshop Policies & Terms
These policies apply to all bookings made with The Candle Cave. By booking, you agree to the following:
1. Age Restriction & Responsible Adult Policy

Minimum Age: Participants must be 12 years old or older to attend independently.

Under 18s must be accompanied by a participating, paying adult (18+).
-
1 adult may accompany up to 5 minors (12-17).
-
Children under 12 are not permitted to participate due to safety risks involving hot wax and open flames.
-
The booking adult (18+) is legally responsible for all participants under 18 they bring to the workshop and agrees to these terms and conditions by booking the session.
2. Booking & Payment Policy

All bookings must be paid for in advance.
-
Prices are listed in GBP (£) and include applicable taxes unless stated otherwise.
-
Group bookings or private events may require a non-refundable deposit (e.g., 50%) to confirm.
3. Cancellation & Rescheduling Policy
-
All bookings are non-refundable.
-
If at least 48 hours’ notice is given, a booking can be rescheduled to an alternate date (subject to availability).
-
No refunds or rescheduling for cancellations made less than 48 hours before the workshop.
4. Late Arrival & Participation Policy

Participants arriving more than 15 minutes late may not be allowed to join, with no refund or reschedule.
-
If a participant fails to follow safety instructions or behaves disruptively, The Candle Cave may remove them from the workshop without a refund.
5. Health, Allergies & Medical Conditions Policy

Participants must disclose any allergies, asthma, or other medical conditions that could be affected by workshop materials before booking.

The Candle Cave is not responsible for allergic reactions or health issues arising from undisclosed conditions.
6. Damage, Loss & Responsibility Policy

Participants accept full financial responsibility for any damage they cause to the venue, equipment, or materials.

If an item is broken or damaged due to negligence or misuse, the participant agrees to cover repair or replacement costs.
7. Force Majeure (Unforeseen Cancellations)

If The Candle Cave cancels a workshop due to unforeseen circumstances (e.g., staff illness, venue issues), participants will be offered a reschedule or full refund at The Candle Cave’s discretion.
8. Photography & Media Consent (Optional)

Photos/videos may be taken during workshops for promotional use.

If a participant does not wish to be photographed, they must inform the workshop leader before the session begins.
9. Data Privacy & Personal Information Policy

Personal information collected during booking will only be used for workshop communication and marketing (if opted in).
